A File Naming System that Works

Stop naming files “FINALfinal”: a simple versioning system that actually works

There is a moment in every project where someone asks a dangerous question: “Is this the final version?”

If the file name includes FINAL, USETHIS, v2, revised, or—worst of all—all of the above…the answer is usually “Uhhh…I’m not sure…let me check.”

Why file names matter more than you think

Messy file names slow everything down. They cause:

  • Wrong versions getting sent to print
  • Extra emails asking “which one is right?”
  • Designers opening five files just to figure out what changed
  • New employees looking for files that definitely exist, but can’t be found

Clear file naming saves time, avoids mistakes, and helps the next person (often, future you).

Here’s a versioning system anyone can use

You only need three things in a file name:

1. What it is

2. When it was updated

3. Which version it is

That’s it.

Use this format:

ProjectName_Description_YYYY-MM-DD_v1

Examples:

SpringCampaign_SocialGraphics_2026-04-01_v1.pptx
Website_HomepageMockup_2026-08-09_v5.fig
BudgetSummary_FY26_2026-01-10_v1.xlsx
BoardPacket_MarchMeeting_2026-03-05_v3.pdf
BackToSchoolFlyer_SupplyList_2026-08-15_v3.pdf

At a glance, you know:

  • What the project is
  • How recent it is (is this your 2026 speech…or something from 2021?)
  • Whether it’s the latest version
    (Unless you’re in Google Docs—then you’re off the hook on version numbers.)

A few rules that make this work

  • Use dates in this format: YYYY-MM-DD (they sort correctly every time)
  • Use version numbers: v1, v2, v13
  • Increase the version number only when real changes are made (and you need to keep a prior copy).
  • Avoid words like FINAL, USETHIS, or LATEST
    (They age badly. Fast.)
  • Rename the doc when the purpose changes (from notes to final talking points, for example)

Clear file naming doesn’t make you rigid—it makes projects smoother, handoffs easier, and mistakes less likely. Your collaborators will thank you. Your coworkers will absolutely notice. Your future self is thrilled you took the time to do things correctly. Starting…now?
